Chat in the Deal Flow

Chat on Pickup2 isn't a generic messenger — it's tied directly to freight orders and fleet offers. This page explains the extras you get in deal-related chats: context headers, offer quick-actions, and the system messages that keep a permanent record of what was agreed.

The Conversation Header

Every freight-order or fleet-offer chat has a sticky header at the top showing the context of the deal:

For Freight Order chats

  • Freight reference number (e.g. #1234)
  • Loading → unloading route
  • Cargo summary (weight, vehicle type)
  • Price and currency
  • Button: "View Order" — opens the full freight details

For Fleet Offer chats

  • Available from / to dates
  • Loading → unloading route
  • Vehicle type and capacity
  • Price (flat or per km)
  • Button: "View Fleet Offer" — opens the full fleet-offer details

If the underlying freight or fleet offer is edited (e.g. the shipper changes the price), the context header updates automatically so both sides always see the current terms.

Submitting an Offer from Inside Chat

You don't have to leave chat to negotiate — the Submit Offer form lives right in the conversation.

Click "Submit Offer"

A button in the conversation header (or an inline action in the chat) opens a small form.

Enter the details

  • Price and currency
  • Payment terms (immediate, deferred N days) for freight orders
  • Optional message to explain the offer
  • For fleet offers: additional location or cargo details

Send

The offer posts as a special message inside the same chat — both sides see it with a distinct style so it stands out from normal messages.

System Messages: A Permanent Record

When something important happens to an offer, Pickup2 inserts a system message into the chat — not from you or the other party, but from the platform. These messages are your audit trail.

System messages cannot be edited or deleted — they are a permanent, timestamped record of what was agreed. If there's ever a dispute, the chat is the source of truth.

Offer Actions Inside Chat

Offers that appear in the chat have inline buttons that change depending on who you are and the offer's state:

If you received an offer

  • Accept — turns the freight/fleet offer into a deal; the chat stays open for coordination
  • Reject — the offer is declined; the other side can send a new one if the freight is still open

If you sent an offer

  • Withdraw — cancels your pending offer before the other side decides
  • You can also send a new offer — your latest offer replaces the previous one

Once the shipper accepts an offer, the freight is no longer available to other carriers and a deal is created. All other pending offers on that freight are automatically marked as expired/rejected.

What Happens After Acceptance

Once an offer is accepted:

The chat stays open

Unlike a marketplace where the listing disappears, the chat thread remains your primary coordination channel through pickup and delivery.

System message confirms the deal

A " accepted the offer" message is inserted, sealing the agreement.

The freight/fleet offer moves to In Progress

Both sides see it in their respective My Deals or My Fleets view.

You coordinate via chat

Share the driver's name and phone number, exact pickup time, attach the CMR and eventually the proof of delivery — everything goes here.

Completion

When the load is delivered, either side marks the deal Completed on its details page. The chat remains, now read-only after closure, as your historical record.

Using Chat for Coordination: Best Practice

Keep All Decisions in Chat

  • Don't agree on terms by phone without echoing them in chat — the chat is your paper trail.
  • Paste the driver name and phone, license plate, and ETA in chat when the deal is confirmed.
  • Upload CMR as soon as pickup happens, proof of delivery as soon as the load is dropped off.
  • If you renegotiate a price mid-deal, send a new offer from inside chat rather than just discussing in text — the system message becomes the record.

Context Header Buttons

"View Order" / "View Fleet Offer"

Opens the underlying listing in a side sheet or new tab — useful when you want to double-check cargo details or vehicle specs without leaving the conversation.

On a Closed Deal

Once the deal is Completed or Cancelled, the chat header shows a "Rate partner" button (after completion) so you can leave a review of the other company without navigating elsewhere.

Troubleshooting

The "Submit Offer" button is missing

  • Offers are only allowed on active (not expired/cancelled) freight orders and fleet offers.
  • You need "Add" permission on the relevant resource — ask your owner to grant it.
  • A freight that already has an accepted offer won't show the button for new offers.

My acceptance didn't go through

  • Another offer may have been accepted a split-second earlier — refresh the chat and check the latest system messages.
  • If the freight's pickup window has passed, acceptance is blocked. Contact the shipper to repost with updated dates.
